Employers should ensure that the policy is readily available to all staff.
It should be set out in the Employee Handbook or on the organisation’s intranet.
Furthermore, when new starters join the organisation, they should be informed of the location of this policy and given a copy, or provided with time to review and read it. A signed notice that they have done this will be key evidence if their knowledge of this policy needs to be proven at a later date
